How to submit a manuscript for publication

  1. First, your text will be edited.
    1. Please:
      • don't forget to label and title all your figures and tables and reference them in the text.
      • footnote all author bio information and double check accuracy.
      • send the text by e-mail to Amy Smith (smiamy@nmsu.edu; 575-646-1163) for editing, or bring a disk to rm. 125, Regents Row, Roberts Building.
      • CES publications require the "Request for Approval of Manuscript" form, signed by your department head. You need to get the signature. The form is available on the Web at: http://cahe.nmsu.edu/employee/agcom/services/service.2/approval_form.pdf
      • AES publications should be submitted through Steve Loring (sloring@nmsu.edu; 575-646-1464.
    2. You will receive via interoffice mail the original manuscript and a copy with the editor's changes:
      • Using Word's Track Changes tool, accept and reject changes according to your judgment.
      • return the file with edits incorporated to the editor.
  2. Now, the pub goes to layout. Be sure to follow these instructions:
    1. Use Microsoft Word or WordPerfect. Do not attempt to format the document.
    2. Please do not embed in the text any photos, charts or spreadsheets. Embedding causes us major production delays, so we will return your work to you, so you can fix the embedding and resubmit to us properly.
    3. Instead of embedding, save your images as individual digital files (i.e. Photos should always be high resolution (at least 300 dpi). We encourage your providing us with slides or prints whenever possible. If you generate the tables and/or charts with Excel or PowerPoint, provide those files. (Tip: When setting up tables in Word/WordPerfect, set tabs; do not insert spaces between columns.)
    4. Please provide a black-and-white hard copy of line art drawings or charts. If shading is necessary in charts/graphs, provide digital files in PowerPoint or Excel.
    5. It is the author's responsibility to obtain copyright clearance to use any photos or figures previously published.
    6. We can illustrate your work (figures, maps), if you give us advance notice before turning in your manuscript for editing.
  3. The publication will be returned to the author once layout is complete for final proofing and approval before printing and posting to the Web. (Author is fully responsible for accuracy of publication content.)
